IT and Software Company Software: Milestones, Retainers and Scope Creep
The quotation is the scope document
A client asks for a website, an app or a custom module. The quotation must say what is included, what is not, how many revisions, and when payment is due. If the scope lives only in an email, every change becomes an argument.
Keep the accepted quotation linked to the project. When the client asks for an extra report, issue a variation or a new quotation instead of quietly absorbing it.
Invoice at milestones, not at hope
Advance, design approval, delivery and support are natural milestones. Each one should release an invoice against the project. The project view should show billed, received and still-to-bill, so the team knows whether the next milestone is funded.
Retainers are recurring revenue
Hosting, maintenance and support renew monthly or yearly. These are not new sales each time; they are recurring invoices with a start date and a next-date view. Missed renewals are pure loss because the cost of service continues.
Costs before the invoice
Domain, hosting, third-party API, contractor payment and software licences are project costs. If they sit in a general expense list, the project looks profitable until the renewals arrive. Tag each cost to the client or project and read the margin before promising a discount.
Deliverables and handover
A project is not finished when the code runs; it is finished when the client accepts it. A task list with owners and a final handover note protects both sides. The public invoice link also gives the client a clean record without asking for a PDF on WhatsApp.
What Zuviq Book covers
Project and task tracking, quotations with terms, milestone invoices, recurring maintenance invoices, client and supplier records, project expenses, payment tracking and a public bill link.
The agency flow is in the IT and software brochure. For pricing a service, read spreadsheet vs business software.
Audit one project
Pick a live project and check four numbers: quoted value, billed so far, costs so far and hours promised. If any one is missing, the project is being run from memory.

Frequently asked questions
Can I invoice a project in milestones?
Yes. Keep the project and quotation linked, then raise an invoice at each accepted milestone.
How do retainers differ from project invoices?
A retainer repeats on a schedule; a project invoice is tied to a milestone. Use recurring templates for retainers.
Can I see project profit before it ends?
Tag project costs and supplier bills to the project, then compare them with billed and received value.
