Event Management Software: One Quote, Many Vendors, One Deadline
The quotation is the event plan
Venue, catering, decoration, sound, photography and staff are separate lines bundled into one client price. The quotation should show the package clearly and the internal cost sheet should keep each vendor's rate. If the client sees the vendor cost, the negotiation starts from the wrong place.
A booking becomes a project once the client accepts. The event date is the deadline every task works backward from.
Vendor bills arrive on both sides of the date
Some vendors need an advance, some bill after the event. Each bill belongs to the event, and the margin is only real when all of them are entered. A wedding that looks profitable on the deposit can turn into a loss after the caterer's final bill.
Tasks are the run sheet
Decor setup, sound check, guest arrival and teardown are tasks with owners and times. A shared task list makes the event visible to the team and stops the same instruction being given on three phone calls.
Client payments are staged
Bookings usually come with a deposit and a balance before the date. Each payment should link to the event and show the remaining amount. A client who has paid the deposit has not paid for the event.
Cancellations and penalties
When an event is cancelled, vendors may still charge. A credit note against the booking should separate what was recovered from what was lost. Without that, the loss disappears into general expenses and the next quote repeats the mistake.
What Zuviq Book covers
Event quotations, project and task tracking, vendor bills, staged client payments, refund notes, event expenses, supplier and customer aging and a public bill link.
The event flow is in the event management brochure. For project billing, read the IT project guide.
Review one closed event
Take last month's event and add every vendor bill and staff cost. Compare it with the client invoice. If the margin is not visible, the next quote is still a guess.

Frequently asked questions
Can I keep vendor costs separate from the client quote?
Yes. The client sees the package price; vendor bills sit on the event's cost side.
Can a booking be paid in two stages?
Yes. Link each payment to the event; the remaining balance and due date stay visible.
How do I record a cancelled event?
Use a credit note against the booking, separating vendor penalties from the amount refunded to the client.
