Construction Company Software: Materials, Subcontractors and the Site That Ate the Budget
The project is the account
Every purchase, wage, transport bill and subcontractor payment belongs to a project. If they go into one general expense list, the owner knows the company spent money but not which site is profitable.
Create a project per site and tag purchases, expenses and invoices to it. The project view then shows quoted value, billed value, cost to date and the remaining margin.
Materials move before the bill
Cement and steel often arrive at the site before the supplier invoice. The storekeeper records the receipt, the accounts team records the bill later. If the two are not linked, stock and payables disagree at month-end.
Goods receipt against a purchase order, then the supplier bill against the receipt, keeps the chain readable. Site-to-site transfers should move stock without creating a sale.
Subcontractors are suppliers with a scope
A subcontractor may be paid per cubic foot, per day or per completed portion. The agreement and the payment should reference the same scope. A running account per subcontractor shows the total agreed, paid and still due.
Progress billing keeps cash alive
Construction clients rarely pay everything at the end. Bill against agreed stages or a measured quantity, and keep the unpriced balance visible. A project that is 80% complete and 30% billed is a cash problem, not a profit problem.
Site stock is not shop stock
Materials at the site are still the company's stock. A separate outlet or location per site makes the transfer and the consumption visible. Without it, the main store looks empty and the site looks unlimited.
What Zuviq Book covers
Project and task tracking, quotations, purchase orders and goods receipts, supplier and subcontractor bills, project expenses, progress invoices, per-location stock, payments and receivables aging.
The site flow is in the construction brochure. For material costing, read weighted average cost.
Pick one live site
Add the quoted value, the billed value and every cost recorded against the site. If the three numbers cannot be seen together, the budget is being managed from memory.
