Consultancy Software: Proposals, Retainers and the Advice You Forgot to Bill
Proposal first, work later
A consultancy engagement begins as a proposal: the question, the approach, the deliverables, the timeline and the fee. If the proposal is a Word file that never enters the system, the scope is whatever the client remembers.
Keep the accepted proposal as a quotation linked to the project. Changes get a variation note, not a silent extra month of work.
Retainers need a calendar
Advisory retainers, compliance support and monthly reviews repeat. The value is in the continuity, so a missed invoice is not just lost cash; it breaks the habit of paying. Recurring invoices with a next-date view keep the schedule visible.
Project fees and expenses
Some work is a fixed fee, some is a monthly retainer, and some is a success fee. Each should have its own invoice line or document. Travel, research, filing fees and subcontractors are client costs or business costs — say which, and record it that way. A mixed expense list makes every engagement look less profitable than it is.
Deliverables are the proof
The final report, the filed document, the training session and the handover meeting are deliverables. A task list with dates and owners makes the engagement visible to the client and to the team. Without it, progress exists only in the consultant's head.
Confidentiality in the record
Client names may be sensitive. Use clear customer records, but keep the detailed working papers outside the billing system. The invoice needs the client, the period and the service — not the confidential findings.
What Zuviq Book covers
Proposal and quotation records, project and task tracking, fixed-fee and recurring invoices, client expenses, payment tracking, statements and a public bill link.
The consultancy flow is in the consultancy brochure. For a service-first view, read the service business guide.
List the unbilled advice
Look at last month's client calls and emails. If any produced work outside the retainer, there should be a quotation or a variation. If not, the leak is already visible.

Frequently asked questions
Can a proposal become an invoice?
Yes. Keep the accepted proposal as a quotation linked to the project, then invoice the agreed fee.
How do I bill a monthly retainer?
Use a recurring invoice with the period and fee, and check the next-date list every month.
Should client travel be an expense?
Record it against the engagement if it is recoverable, or as a business expense if it is not. The distinction protects the margin.
