Travel Agency Software: Packages, Supplier Bills and the Margin Between Them

The package is a quotation with many parts

Air ticket, hotel, transfer, visa assistance and guide are separate costs bundled into one selling price. The quotation should show the package and the validity, while the internal cost sheet keeps each supplier's price. If the two are mixed, the customer sees the margin and the agency loses the negotiation room.

When the customer accepts, the quotation becomes the booking record. Changes — a date shift, an extra night — should be a variation, not a new informal message.

Supplier bills arrive late

The airline, hotel and transport supplier may bill before or after the trip. Each bill belongs to the booking, and the margin is only real when all of them are entered. A booking that looks profitable on the deposit can turn into a loss after the hotel invoice.

Record supplier bills against the booking and watch the cost-to-date before confirming the next trip.

Customer payments are staged

Travel is often paid in instalments: deposit, balance before departure, and sometimes an amount on return. Each payment should be linked to the booking and a due date. A customer who has paid the deposit is not fully paid, and the report should say so.

Refunds and cancellations

Cancellations produce supplier penalties and customer refunds. A credit or return note should link to the original booking and state what was recovered from the supplier. Without that link, the loss is buried in a general expense.

What Zuviq Book covers

Package quotations, booking-linked invoices, staged customer payments, supplier bills, refund and cancellation notes, customer and supplier aging, expense tracking and a public bill link.

The agency flow is in the travel agency brochure. For service quoting, read the service business guide.

Audit one booking

Take a completed trip and add up the customer payments and every supplier bill. If the margin is not visible without opening three files, the booking was never fully recorded.

Frequently asked questions

Can I keep supplier costs hidden from the customer?

Yes. The customer quotation shows the package price; supplier bills stay on the booking's cost side.

Can a booking be paid in instalments?

Yes. Each payment is linked to the booking, and the remaining balance stays visible with its due date.

How do I record a cancellation?

Use a credit or return note against the booking, recording the supplier penalty and the customer refund separately.
