Mobile Shop Software: IMEI, Buyback and the Phone That Comes Back

The unit is the phone, not the model

Ten units of the same model are ten different phones. Each has an IMEI, an arrival cost, a warranty start and a condition. When a customer returns with a fault, the counter needs the exact unit — not “we have ten in stock”.

Serial tracking turns every handset into a traceable record from supplier to customer. Accessories stay quantity-based; phones do not.

Buyback and exchange

Most sales involve an old phone. The buyback price is a discount with a reason, not a cash payment, and the old unit enters stock as a used item with its own condition and cost. If the shop records only “discount 3,000”, the used phone disappears from stock and the margin report is wrong twice.

Record the buyback as a purchase or a return with a condition note, then sell the used unit as its own item. The customer gets one invoice, the shop gets a clean stock trail.

Price drops are normal

Handset prices move. A unit bought last month may have to be sold below its landed cost to stay competitive. The system should allow a new selling price without rewriting old invoices, and the margin report should show the loss on that unit honestly rather than hiding it in an average.

Warranty and service

Warranty starts on the invoice date and follows the IMEI. A service job should find the original sale from the IMEI, record the fault, the parts used and the outcome. Replacement units need their own serial and a linked warranty, or the next claim starts from zero.

Bangladesh specifics

Cash, bKash, card and instalment-like arrangements all appear. A partial payment is still a payment; the due should sit against the customer, not against a memo. VAT documents matter for corporate buyers, and a printed invoice with the IMEI is what a warranty desk asks for first.

Many shops also sell accessories, SIMs and repairs from the same counter. Services and goods need separate line types so stock does not go negative on something that was never stocked.

What Zuviq Book covers

Serial and IMEI tracking, warranty dates from the sale, service jobs with parts, buyback as a purchase or return, price changes without rewriting history, and a public bill link the customer can open at the service desk.

The counter walkthrough is in the mobile shop brochure. For laptops and computers, read the computer shop guide.

Trace one IMEI

Take one phone and follow it from purchase to sale, warranty, one service visit and one buyback. If every step is findable from the IMEI, the setup is ready for a busy week.

Frequently asked questions

Can I sell accessories without IMEI?

Yes. Serial tracking is per item, so chargers and cases stay quantity-based while phones require a unit.

How should a buyback be recorded?

As a purchase or return with the condition and cost, then resell it as a used item. A plain discount loses the phone from stock.

Does warranty follow a replacement phone?

The replacement needs its own serial and a warranty linked to the original claim, otherwise the next service visit cannot find the history.
