Electronics Shop Software: Serial Numbers, Warranty and the Cost of a Returned Unit

One model, three prices

A television arrives in several batches at different landed costs. The shop may sell one at full price, one with a free wall mount, and one at a small discount to clear an older batch. If the system keeps one average cost and one selling price, the owner cannot see which sale actually made money.

That does not require a complex costing model. It requires purchase cost per receipt, a selling price that can change without rewriting old invoices, and a margin report that uses the cost of the unit actually sold.

The serial is the unit

For laptops, TVs, printers and large appliances, the serial number is the real inventory record. Receiving should capture it against the supplier and the purchase. Selling should attach it to the customer and the invoice date. A warranty claim should find the original sale without asking the customer for a paper receipt.

When serials are optional, the shop chooses per item — cables and accessories do not need them; a refrigerator does.

Warranty is a date, not a promise

Warranty starts on the invoice date, not the purchase date. A unit that sat in the showroom for two months should not lose two months of cover. The system has to derive the end date from the sale, and the service counter has to see it before accepting a claim.

Manufacturer warranty and shop warranty are different obligations. Record which one applies, and what the replacement or repair policy is, so the counter does not improvise.

Service jobs and the parts inside them

A repair is a sale with a different shape: labour, parts, and sometimes an outside technician. Parts should leave stock at cost, labour should carry no stock, and the customer should get one document with both. If the repair is entered as a generic invoice line, the parts stock never moves and the true cost of service is unknown.

Returns are harder. A returned unit may be resellable, refurbished, or scrap. Each outcome has a different stock and accounting treatment; a single “return” button forces the shop to lie about one of them.

Bangladesh specifics

Cash, card, bKash and bank transfer are all normal, and many sales include an exchange of an old unit. The exchange value is a discount with a reason, not a cash payment. VAT documents matter for corporate buyers, and a serial number on the invoice is often the first thing a warranty desk asks for.

Showroom and warehouse are usually separate. Stock transfers need to move the serial, not just the quantity, or the showroom believes it has a unit that is still in the godown.

What Zuviq Book covers

Serial tracking per item, warranty dates derived from the sale, service lines with parts cost, purchase orders and goods receipts, outlet transfers, and a public bill link that a customer can open at the service desk. The same catalogue feeds quotations for corporate buyers.

The showroom walkthrough is in the electronics brochure. For computers specifically, read the computer shop guide.

Trace one unit end to end

Take one serial number and follow it: purchase, receipt, transfer to the showroom, sale, warranty start, one service visit, one return. If every step can be found from the serial, the setup is sound. If any step lives only in a notebook, that is the first thing to fix.

Frequently asked questions

Can I sell accessories without serial numbers?

Yes. Serial tracking is a per-item setting, so cables and small parts stay quantity-based while laptops and TVs require a unit.

Does warranty start from purchase or sale?

From the sale. The invoice date is the evidence the customer has, and it is what the service desk should see.

Can a return go back as a different condition?

Record the outcome explicitly — resalable, refurbished or scrap — because each one changes stock and value differently. A generic return hides that decision.
