Wholesale Software: Price Tiers, Dues and the Van That Never Reconciles
Three prices, one item
Wholesale pricing is rarely a single number. A retailer gets one rate, a sub-distributor another, and a cash buyer may get a third. Volume can change the rate mid-order. If the price list is a printed sheet beside the till, two staff will quote two prices and the owner will hear about it.
Price tiers assigned to the customer, with an optional quantity break, keep the quote and the invoice consistent. The invoice should show which tier was used, so a later argument has a record.
Credit is the product
Most wholesale sales are on account. The risk is not the first invoice; it is the tenth, when the customer is already behind and still ordering. A dues report by customer, aged into 0–30, 31–60 and 60+ days, is the single most useful screen in the business.
Payments should settle the oldest invoices first by default, with the ability to allocate to a specific bill when the customer insists. A monthly statement — invoice list, payments, closing balance — ends most collection calls before they start.
Stock across counters and the van
A wholesaler usually has a godown plus one or more sales counters, and sometimes a delivery vehicle that carries stock. If all of it is one number, the counter sells stock that is physically in the godown and the van's load is invisible.
Model each location as an outlet. Transfers move stock between them with a document, and a transfer that has left but not arrived is visible rather than assumed. The same logic applies to a return from a retailer: it comes back to a location, not to “stock” in general.
The purchase side is half the business
Purchase orders, goods receipts and supplier bills should be separate steps because they happen on different days. Ordering without receiving, or receiving without the bill, is normal; a system that forces all three into one screen loses the timing. Supplier dues age the same way customer dues do, and a payment without a bill reference is how double payments happen.
Returns and damage
Wholesale returns are often partial: two cartons from a ten-carton delivery, or a damaged item replaced. The return note has to bring back the exact item and quantity, at the price actually paid, and decide whether it goes back to stock or is written off. A generic credit note hides that decision until stock count.
Bangladesh specifics
Cash, bKash, bank transfer and cheque all appear, often mixed on one account. Delivery to a retailer may be against a previous due, so the driver needs a collection slip, not just an invoice. VAT documents and Mushak-style invoices matter for registered buyers, and a public bill link saves reprinting when the paper is lost on the road.
What Zuviq Book covers
Price tiers, customer and supplier dues with aging, multiple outlets and stock transfers, purchase orders, goods receipts and bills, return notes, quotations and a public bill link. The same item catalogue serves retail and wholesale counters.
The distribution walkthrough is in the wholesale brochure; the counter version is in general retail.
Start with the dues report
Enter your ten largest customers and their opening dues, then enter one month of real invoices and payments. If the aged report matches the notebook, the rest is worth setting up. If it does not, you have found the real problem before buying anything.

Frequently asked questions
Can a customer have a fixed price list?
Assign a price tier to the customer. The quote and invoice both use it, and quantity breaks can override it when the order is large enough.
How are partial payments handled?
A payment can settle the oldest invoices by default or be allocated to a specific bill. The customer statement then shows exactly which invoices remain open.
Can I see stock in the van separately?
Model the van as an outlet and move stock with a transfer. What left the godown but has not been sold or returned stays visible.
