Auto Parts Shop Software: Part Numbers, Fitment and the Return That Fits Nothing
The part number is the product
A brake pad for a Corolla and one for a Premio may share a shelf but not a part number. If the catalogue stores only “brake pad”, the counter sells the wrong box, the customer returns it, and the shop cannot tell whether the fault was the part, the staff or the record.
Store the part number as the item code, with brand and vehicle compatibility as variants or attributes. The same part can then be searched by number, vehicle or brand without creating duplicate items.
Genuine, aftermarket and grade
Buyers ask for genuine, OEM or aftermarket by name. These are not three prices on one item — they are different products with different costs, warranties and return behaviour. Keeping them as separate variants makes the margin honest and stops a cheap part being billed at a genuine price.
Returns are a daily event
Wrong fitment, wrong diagnosis and changed plans all produce returns. A return note should put the part back into the exact stock bucket it came from, at the cost it was sold at, and leave the original invoice readable. If returns are handled as negative sales without a link, the part number history becomes useless.
Wholesale and retail in one shop
Garages buy at trade price, walk-in customers at retail. Price tiers per customer keep the counter fast and stop the same part being quoted two ways. Credit is normal in the trade; the due must sit on the garage account with an aging view, not in a notebook.
Stock across counter and godown
Fast-moving filters belong at the counter; bulky parts stay in the godown. Per-outlet balances show what can be sold now and what must be fetched. A transfer between them should move cost, not create a sale.
What Zuviq Book covers
Part numbers, brand and vehicle variants, trade and retail price tiers, return notes linked to the original sale, per-outlet stock, supplier bills and receivables aging.
The counter flow is in the auto parts brochure. For a stock baseline, read weighted average cost.
Test one wrong part
Pick a part number that fits three vehicles. Sell it, return it, and check that the stock comes back at the same cost and the garage account still balances.

Frequently asked questions
Can one item have several vehicle fits?
Yes. Use variants or compatibility attributes so the part is searchable by vehicle without duplicating the item.
How do I stop trade customers paying retail?
Assign a price tier to the customer account. The counter then picks the tier automatically.
Should returns be a negative sale?
No. Use a return note linked to the original invoice so stock and cost return to the correct bucket.
