Transport and Logistics Software: Trip Costs, Fuel and the Invoice That Waited

One trip, one invoice trail

A trip has a vehicle, a route, a consignment and a customer. The invoice may be raised on delivery or on a monthly summary, but each trip should stand as its own record. If five trips are billed as one lump, a dispute over one delivery becomes a dispute over the whole month.

Keep the trip reference on the invoice and the customer's purchase order or challan number beside it. That is what the accounts team asks for when payment is delayed.

Fuel and tolls decide the margin

Fuel is the largest variable cost. A fuel bill recorded as a general expense tells the owner the monthly total but not which route or vehicle is losing money. Tag fuel, toll, driver allowance and loading cost to the trip or vehicle.

Repairs are different: a tyre or a brake part is stock or a capital cost, not a trip expense. Separate the two or the profit per trip is wrong in both directions.

Vehicles need their own history

Registration, insurance, fitness and service dates belong to the vehicle. A reminder before expiry is cheaper than a fine at a checkpoint. Parts and tyres can be tracked as serial or quantity stock, depending on how the workshop buys them.

Receivables are slow

Corporate customers pay after 30 or 60 days. Aging by customer shows which invoice is inside the agreed term and which one needs a call. Driver advances and supplier dues should be visible separately, not netted into one confusing balance.

What Zuviq Book covers

Trip-wise invoices with references, customer and supplier aging, expense categories for fuel and tolls, vehicle-linked costs, parts stock, purchase bills, payment tracking and printable or link-based invoices.

The transport flow is in the transport and logistics brochure. For the stock side, read weighted average cost.

Take one trip

Pick a completed trip and gather the freight invoice, fuel bill, tolls and any repair. If those four numbers are not in one view, the trip's profit is still a guess.

Frequently asked questions

Can I bill each trip separately?

Yes. Keep the trip reference on the invoice so a later dispute is about one delivery, not the whole month.

How do I see profit per trip?

Tag fuel, toll, driver allowance and loading cost to the trip, then compare with the freight invoice.

Are vehicle repairs a trip expense?

Usually not. Treat parts as stock or a capital cost; keep only trip-specific fuel and tolls on the trip.
