Library and Stationery Shop Software: Editions, Institutions and Dues

Edition is not a note, it is the book

Class Five English 2025 and 2024 have different covers, prices and sometimes different content. If both sit under one item code, the counter sells the old edition at the new price and the school returns it after distribution day.

Use variants for edition, class or board, and keep the barcode or ISBN on the variant. Then the stock, the price and the return all point to the exact book.

Institutional orders

A school order arrives as a list, often with a deadline before the session starts. The shop needs a quotation per institution, a confirmed order, phased delivery and one invoice or several against the same order. The due is normal; the school may pay after the books reach the students.

Price tiers per institution handle the discount without arguing at the counter, and aging shows which school has crossed its usual payment window.

Stationery is the long tail

Pens, paper, art supplies and exam boards are quantity items with small margins. They need barcode checkout and fast search, not the same treatment as a textbook. Low-stock alerts matter more than batch tracking for most stationery, while art paper and glue may need expiry.

Returns after the session

Schools return unsold copies, usually with a deadline and sometimes with damaged stock. A return note against the original invoice keeps the edition correct and the school's due accurate. If returns are entered as negative sales, the edition history becomes a guess.

What Zuviq Book covers

Edition variants with barcode, institutional price tiers, quotations and sales orders, phased invoices, return notes, low-stock alerts, barcode billing and receivables aging.

The counter flow is in the library and stationery brochure. For a comparison with manual registers, read spreadsheet vs business software.

Follow one school order

Take a 400-copy order, split the delivery into two, return 20 copies, and check that the stock, the invoice and the school due all agree at the end.

Frequently asked questions

How do I keep old and new editions apart?

Create a variant per edition with its own barcode or ISBN, so stock and price follow the exact book.

Can a school order be delivered in phases?

Yes. Confirm the order, deliver and invoice each phase, and the remaining copies stay visible.

Do stationery items need barcodes?

For fast checkout, yes. Pen and paper lines are high-volume, low-margin, and typing codes slows the counter.
