Rental and Leasing Software: Assets, Monthly Bills and the Item That Never Came Back
Every asset is a serial
A chair, a projector, a generator or a car is a unit with a serial, a purchase cost, a condition and a location. If the register says “20 chairs”, nobody knows which chair is with which customer, which one is damaged, and which one has been missing since last quarter.
Serial tracking links the asset to the rental agreement and to the return. For bulk furniture, a quantity line with a location may be enough; for expensive equipment, one serial per unit is the minimum.
The agreement is a recurring invoice
Rent is charged weekly or monthly for the same asset to the same customer. That is a recurring invoice, not a new sale each time. A next-date list shows what should be billed and what has been collected.
If the rental period changes, the agreement changes first and the invoice follows. Editing old invoices to fit a new arrangement destroys the audit trail.
Maintenance belongs to the asset
Cleaning, servicing and repairs are costs of keeping the asset rentable. Record them against the asset, not only against the month. Then the owner can see whether an old generator still earns more than it costs.
Late returns and damage
A late return may be charged an extra period; damage may be a repair charge. Both should link to the agreement and the asset. Security deposits, if held, need a clear record of receipt and return; mixing a deposit with rental income makes the monthly revenue look better than it is.
Customer concentration
Rental income often depends on a few customers. Aging and revenue by customer show the exposure before a big account leaves. A statement per customer also makes the monthly collection conversation shorter.
What Zuviq Book covers
Serial-tracked assets, rental agreements, recurring invoices, late-return and damage charges, asset maintenance costs, customer statements, aging and printable or link-based bills.
The rental flow is in the rental and leasing brochure. For recurring billing, read the service business guide.

Yes. Serial tracking links every agreement, invoice and return to the exact unit.
How is monthly rent billed?
A recurring invoice per agreement, with a next-date list so no month is missed.
Can damage charges be added later?
Yes. Add the repair charge to the agreement or a separate invoice, linked to the asset and the return.
