The job card is the specification

Size, paper, colour, quantity, finishing and delivery date are not notes; they are the specification. If they live in a WhatsApp thread, the press operator works from memory and the customer remembers a different version.

A quotation with those details, converted to a job card after approval, keeps both sides on the same page. Changes get a revised quotation, not a verbal instruction.

Paper and ink are stock

Paper is bought in reams and consumed in sheets; ink and plates are consumed per job. If paper is treated as a general expense, the cost per job is invisible. Track the main substrates as stock and record consumption against the job. Small consumables can stay in a cost category.

Waste is part of the estimate

Every press has setup waste. A 1,000-piece job may consume 1,050 sheets. If the estimate assumes zero waste, the margin disappears in the first hour. Record actual consumption and compare it with the quote after the job closes.

Reprints and approvals

A reprint caused by a customer change is billable; a reprint caused by a production error is a cost. The job record should say which. Without that distinction, every reprint becomes a free favour and the shop cannot see the real cost of quality.

Delivery and receivables

Print buyers often pay after delivery, and agencies may pay after their client pays. Aging by customer shows which job is inside the agreed term. A delivery challan linked to the invoice prevents the “we never received it” conversation.

Close one print job

Take a completed job and compare the quoted sheets with the actual sheets consumed. If the difference is not recorded, the next quote repeats the same blind spot.
